Competencies help you (Admin) determine skill gaps in your Learners and target training to meet those gaps. Learners can be enrolled in specific assignments that will ensure they obtain the skills they need to have to gain or maintain competence in a specific job role. 

Enable Competencies 

Enable Competencies via Admin View > Account > Litmos Features > Select Competencies > Select ‘Enable Competencies.’ 

There are 4 tabs related to Competencies: 

• Competencies – This is a collection of skills. 
• Competency Types – This is a grouping of competencies. These are optional. 
• Skills – These are hard and soft skills that must be obtained to gain competence in the subject matter. They are grouped together to form each Competency. 
• Job Roles – This is a Learner’s job position within the company. 

Note: You decide which Competencies and Skills are important to your business and essential for your Learners in their roles. The relationships between Competencies, Skills, and Job Roles are the key to setting up the Competencies features. 

Manage Competencies 

Manage Competencies via Admin View > Account > Litmos Features > Select ‘Competencies.’  

The default tab is ‘Competencies.’ From here you can: 

• Add a new Competency 
• Edit a Competency 
• Delete a Competency 

Add a New Competency 

From the Competencies tab, select the ‘Add New Competency’ button.  

Enter the: 

• Competency Name (required) 
• Description 
• Competency Type (select from dropdown) 
• Skill Mapping > Select ‘Add Skill’ > Select Skills > Select ‘Select.’  

Select ‘Save’ and you will be returned to the ‘Competencies’ tab. 

Edit Competencies 

From the Competencies tab, select the pencil icon next to the Competency you want to edit. Make your changes and select ‘Save.’  

Delete Competencies 

From the Competencies tab, select the X icon next to the Competency you want to delete then select ‘OK.’  

Manage Competency Types 

Competency Types are optional groupings of Competencies. Manage Competency Types via Admin View > Account > Litmos Features > Select ‘Competencies’ > Select the ‘Competency Types’ tab. 

From here you can: 

• Add a new Competency Type 
• Edit a Competency Type 
• Delete a Competency Type 

Add a New Competency Type 

From the Competency Types tab, select the ‘Add New Competency Type’ button.  

Enter the: 

• Competency Name (required) 
• Description 

Select ‘Save’ and you will be returned to the ‘Competency Type’ tab. 

Edit Competency Types 

From the Competency Types tab, select the pencil icon next to the Competency Type you want to edit. Make your changes and select ‘Save.’  

Delete Competency Types 

From the Competency Types tab, select the X icon next to the Competency Type you want to delete then select ‘OK.’  

Manage Skills 

Skills are the hard and soft skills that must be obtained by a Learner to gain competence in the subject. Skills are grouped together to form each Competency. Skills are also mapped to Courses or Learning Paths so that when these are completed, the Learner attains them. 

 Manage Skills via Admin View > Account > Litmos Features > Select ‘Competencies’ > Select the ‘Skills’ tab. 

From here you can: 

• Add a new Skill 
• Edit a Skill 
• Delete a Skill 

Add a New Skill 

From the Skills tab, select the ‘Add New Skill’ button.  

Enter the: 

• Skill Name (required) 
• Description 
• Competency Type (select HR or Technical from dropdown) 
• Course Mapping > Select ‘Add Course’ or ‘Add Learning Path’ > Select Course or Learning Path > Select ‘Select.’  

Select ‘Save’ and you will be returned to the ‘Skills’ tab. 

Edit Skills 

From the Skills tab, select the pencil icon next to the Skill you want to edit. Make your changes and select ‘Save.’  

Delete Skills 

From the Skills tab, select the X icon next to the Skill you want to delete then select ‘OK.’  

Bulk Upload Skills Images 

Overview 

The Bulk Upload Skills Images feature allows Administrators to update images for multiple Course and Learning Path skills at the same time. This reduces manual effort and helps maintain consistent branding across learning content. 

NOTE: If this option is not visible, please contact your Customer Success Manager to enable the required feature flag. 

How to Bulk Upload Images 

• Navigate to Account Settings > Litmos Features > Competencies, select Skills, and then Bulk Add Images 

• The Unsplash library will display recommended images to associate with each skill in groups of 50 on each page 

• You can choose which images to keep by checking the box or you can change a suggested image by selecting Change Image and search for a replacement image 
• Use the light/dark toggle to adjust how the Skill title displays at the bottom of the image.  The default is dark 
• Select Save and Continue to save chosen images and move to the next page if there are more than 50 topics 
• Select Save 

Manage Job Roles 

Manage Job Roles via Admin View > Account > Litmos Features > Select ‘Competencies’ > Select ‘Job Roles’ tab.  

From here you can: 

• Import a Job Role 
• Add a New Job Role 
• Edit a Job Role 
• Delete a Job Role 

Import a Job Role 

From the Job Roles tab, select the ‘Import Job Role’ button. 

Then select: 

• Title > Select the ‘Import’ button 
• Legacy Custom Field > Select/deselect custom fields > Select the ‘Import’ button 
• Advanced Custom Field > Select/deselect advanced custom fields > Select the ‘Import’ button 
• Import File > Download a CSV template > Choose the completed file > Select/deselect ‘Send Email’ and ‘The first row of my file contains column titles’ as needed > Select the ‘Import’ button 

NOTE: Upload up to 5,000 Job Roles at once with the ‘Import File’ option. 

Once imported, Job Roles are independent of the import source and can be edited/deleted. 

Imports can be run again if there are new values you would like to import into the Job Roles. Only new unique values will be imported. 

Once Job Roles are imported, each role needs to be mapped to the Competencies that are required for it. 

Add a New Job Role 

From the Job Roles tab, select the ‘Add New Job Role’ button.  

Enter the: 

• Name (required) 
• Competency Mapping > Select ‘Add Competency’ > Select Competencies > Select ‘Select.’  

Select ‘Save’ and you will be returned to the ‘Job Roles’ tab. 

Edit Job Roles 

From the Job Roles tab, select the pencil icon next to the Job Role you want to edit. Make your changes and select ‘Save.’  

Delete Job Roles 

From the Job Roles tab, select the X icon next to the Job Role you want to delete then select ‘OK.’  

Manually Assign a Job Role to a User 

When Competencies are enabled and a Job Role has been created, manually assign it via Admin View > People > Select a User > Select the ‘Competencies’ tab. 

NOTE: Job Roles are not mandatory, even when Competencies are enabled. Competency gaps cannot be identified for an individual User where they do not have a Job Role (or where that Job
