Litmos Training Ops (LTO) allows customers to create virtual, instructor-led courses and sessions with MS Teams.

Admin Settings

Set up the integration via LTO Admin > Extras > Online Meetings > Provider Settings > Select 'Microsoft Teams'

Complete the following fields:

Account Name: Provide an identifying name

Microsoft API Client ID: This connects your MS Azure account to authorize users to create meetings.

To obtain the Client ID, follow these steps: Sign into the Azure portal: Go to https://portal.azure.com/ and sign in with your Azure account. Navigate to Azure Active Directory: From the left-hand menu, select "Azure Active Directory."  Go to App registrations: In the Azure Active Directory blade, select "App registrations" or "App registrations (Legacy)."  Select your application: Choose the application for which you want to get the Client ID or create a new one.  Find the Application (client) ID: In the application details, you will find the "Application (client) ID." This is your Client ID.

Microsoft API Client Secret: This connects your MS Azure account to authorize users to create meetings.

To Create a Client Secret, follow these steps:  1. In the same application details page that you get the Client ID:   a. Scroll down to the "Certificates & Secrets" section and click on it.    b. Add a new client secret:       i. Click on "New client secret."      ii. Enter a description for the secret.      iii. Choose an expiration period (or select "Never" for no     expiration).    c. Click "Add."  2. Note the client secret value:  3. After you click "Add," the secret value will be displayed. Copy and save this value immediately. This is the only time you will see it.  Important: Treat the client secret like a password. Make sure to securely store it, and do not expose it in public repositories or share it insecurely.

Check the 'Display Join Meeting Information in Sync to Outlook' and 'Set Attended flag when attendee clicks on Join Meeting link.'

Select 'Save' and a record will be added, allowing admins to make updates to integration settings. MS Teams will authorize the users that can set up or host MS Teams meetings.

User Settings

Set up the integration via LTO Admin > Security > Users

Administrators who will be setting up MS Teams vClassroom sessions should add a 'Conferencing Accounts' to their profile.

Select 'Save' and a pop-up will request users to authorize their user with MS Azure/MS Teams. NOTE: Make sure your browsers allows pop-ups.

After selecting 'Save' the Admin will be redirected to authorize their user.

A pop-up will appear. After closing this window, the authorized user can create MS Teams vClassroom schedules.

Instructor Settings

Set up the integration via LTO Admin > vClassroom > Personnel (instructors) > Add 'Conferencing Accounts' to profiles of instructors participating in MS Teams vClassroom sessions

Because instructors don’t necessarily have access to LTO to authorize their Microsoft Azure/MS Teams account, or they may not be part of the customer’s Microsoft Azure group, for this step it will simply be adding the instructors email address as shown in the screenshot below

By adding the email address, when this instructor is assigned to a MS Teams vClassroom schedule, they will be added to the meeting to participate.

NOTE:  For those instructors that are outside of your organization, and not included in your Microsoft Azure/Teams organization, once the MS Teams meeting is created, the organizer of the meeting will need to go meeting record and grant the instructor(s) host / presenter privileges in the meeting so that the instructor(s) can launch the meeting.

vClassroom Session

Create a vClassroom MS Teams schedule via LTO Admin > vClassroom > Schedules > New > Select MS Teams provider

Select 'Next' > Input relevant information such as Course, start date, end date, start time, end time, time zone, etc > Select 'Save'

The MS Teams meeting details will appear on the saved schedule.

A meeting will be created in the organizer's calendar.

A meeting invite will be sent to the instructor assigned to the schedule.

vClassroom Email Macros

Similar to other meeting providers, the following macros have been added so they can be included in emails that are generated, then sent to attendees when they register to an MS Teams vClassroom session:

• MSTeams_TC_Audience_Call_In_Info – Included is the call_in_info (Phone Number and Conference Number)
• MSTeams_TC_Meeting_Name – Included is the Name/Title of the meeting
• MSTeams_TC_Meeting_Number – Included is the meeting_key
• MSTeams_TC_Meeting_Password - Included is the meeting pass code
• MSTeams_URL - Included the URL to the meeting

• • NOTE: As of move to production, this macro is a known bug where the URL data may not be included in the email. Therefore, we recommend that the MS Teams meeting email be sent to the attendee upon registration as well as having an LTO registration email sent.
• MSTeams_TC_Organizer – Included is the organizer data.

Attendee Registration

When an attendee registers for an MS Teams vClassroom session, we recommend that the MS Teams meeting email be sent to the attendee so they can accept and add to their calendar.
