Overview

Content Metadata is a suite of features that allows Administrators to enrich content objects — including Courses, Learning Paths, and Collections — with structured descriptive information. By adding metadata such as tags, regions, and learning objectives to content, organizations can improve discoverability, support targeted learning experiences, and maintain a well-organized content library at scale.

Content Metadata is enabled from Account Settings > Litmos Features > Content Metadata. The feature tile includes two sub-features that can be enabled independently:

• Content Tagging: Keywords and labels that group and organize content, supporting faster discovery in the content library for Admins and learners. Includes optional AI-generated tagging for video modules.

• Regions: A geographic field that allows organizations to categorize content by location, making it easier to surface region-specific training for the right audiences.

The Content Metadata tile is shown as Enabled when at least one sub-feature (Content Tagging , AI Video Tagging or Regions) is active. Regions and Tags are also supported via the Litmos API and bulk course import.

NOTE: If you’re using CRP, you’ll notice that when creating a custom role in Account Settings > Roles & Permissions > Custom Roles, the permission previously labeled Content Tagging has been renamed to Content Metadata and also encompasses the new Regions functionality now.

Content Tagging

Content Tags are keywords, labels or metadata that can be used to define content on multiple dimensions, such as type of content or the subject matter of the content.  Tagging is an important tool for an Administrator, as it makes it simple to group and organize similar content, such as Modules, Assets, Courses, Learning Paths or Collections, without having to add keywords explicitly in the title or description of the content.

Tagging provides a more granular grouping for content than Topics and Categories, which typically assign broader content groupings. Users can discover relevant content in the library faster using more intuitive search terms.

Content Tagging can be enabled from Account Settings > Litmos Features > Content Metadata.

Once enabled:

• Account owners can add, update and delete tags from the master Tag page at any time.
• Content count on each tag represents the total number of content objects associated with a particular tag.
• An AI Tag column represents if the tag was generated manually or by AI Video tagging

Every content type (Modules, Assets, Courses, Learning Paths, and Collections) can  have a unique set of tags. Admins can associate tags  from the content settings page by selecting  from the master list or by creating a new tag on the fly.

To add a tag to the master list, select ‘Add a new Tag’, enter the name, and select Save.

If a tag already exists, it will appear in the recommended dropdown. Duplicate tags cannot be created. To associate a tag to a content object, the Admin must:

• Type in the tag (or tags) as comma-separated values and select '+add' or hit enter. This will add the tags the content object in the UI.
• Select ‘Save’ on the settings page. Navigating away without selecting save will lose the tags.

If Content Tagging is disabled at the org level after tags have been set, the ability to add or remove tags is disabled but existing tags remain visible in view-only mode on the content settings page.

Tagging Best Practices:

• Each content type will support up to 20 tags that can be up to 30 characters long.
• Special characters and spaces are not supported in tags.  Underscore (‘_’) is the only accepted special character.
• Tags should be a single word string with no space(s) or strings separated by an underscore for example, “HumanResources” or “Human_Resources”
• Tags are not case sensitive and cannot be duplicated.
• Tags are created in all Litmos Training supported languages.
• The GET /courses/[courseid] API  supports the Tags parameter. Please see Creating and Updating Modules via API for more information.

NOTE: Tags are searchable and filterable in both the Admin and Learner content libraries. Once tags are enabled and configured for any content object, search on tags will always be supported even if the Content Tagging feature is later disabled. All existing Category labels are automatically converted to Tag labels (following the special character rules above), and any Categories associated to a course will be associated with it as Tags (subject to the 20-tag limit).

AI Tagging - Video Modules only

As an extension to Content Tagging, Administrators can use AI and ML (Machine Learning) to automatically tag video content. AI Video Tagging can be enabled within the Content Tagging feature under Account Settings > Litmos Features > Content Metadata > Enable AI Video Tagging.

Once enabled, AI tagging can be selected each time a video module is uploaded. The process can take several minutes and will display as ‘AI video tagging currently processing’ until complete. Up to 10 AI tags will be added to the processed video module. The AI analyzes the audio component of the video for keywords based on context and relevance. Video files without audio will not produce any tags. The resulting tags are displayed in the module and can be edited in the same way as manually created tags.

NOTE: AI Video Tagging is currently available for English language videos only. For clients on AU or EU instances, enabling AI Video Tagging will store and process the submitted video content via a US-based Google Cloud Platform server.

Regions

The Regions feature allows organizations to assign labels to Courses, Learning Paths, and Collections. Region values are created and managed at the account level, then associated with individual content objects to make it easier to organize, search, and filter location-specific training materials.

Regions can be enabled from Account Settings > Litmos Features > Content Metadata > Enable Regions.

Once enabled:

• Admins can add, edit, and delete regions from the Regions tab under Account Settings > Litmos Features > Content Metadata or within content settings. Multiple regions can be added at once, just separate with a comma.  Spaces are also supported.
• The content count for each region shows the number of content items (Courses, Learning Paths, and Collections) it is assigned to.
• Regions can be assigned to individual Courses, Learning Paths, and Collections from the content settings page, directly beneath the existing Tags field.
• Where a region already exists in the system, it will appear in the suggested dropdown when assigning. Each content object supports up to 20 regions, each up to 100 characters long. Unlike tags, region names can include spaces.
• Deleting a region from the master list removes it from all associated content. Removing a region from an individual content object does not delete the region from the master list.
• Region is available as an optional column in the Admin Content Library and Courses Quick Report, which can be filtered.
• Region is included in Course and Learning Path API responses.  Please see Creating and Updating Modules via API for more information.

NOTE: Region is supported on Courses, Learning Paths, and Collections only. The Regions field is included in all relevant course and learning path API endpoints, as well as the bulk course import template and the Create a Collection API. Region data is not returned by API endpoints when the Regions feature is disabled.

Learning Objectives

Learning Objectives allow Administrators to define the intended outcomes of a Course or Learning Path. They are displayed to Learners in the More Information tab of the Course or Learning Path detail page, helping Learners understand what skills and knowledge they will gain before starting.

Learning Objectives are managed from the content settings page for Courses and Learning Paths. To add or edit objectives:

• Navigate to the Course or Learning Path settings page.

• Enter each objective as a free-text string. Each Course or Learning Path can have up to 20 learning objectives, each up to 200 characters long.
• Learning Objectives can be reordered by dragging and dropping them into the desired order.
• Objectives display in the order they were entered and are auto-numbered for learners.
• The Learning Objectives panel is only shown to learners when at least one objective exists for that content. If no objectives are configured, the panel is hidden.
• Learning Objectives can also be included in the bulk course import CSV and are supported across course and learning path API endpoints, Please see Creating and Updating Modules via API for more information.

Learner Experience

When viewing a Learning Path, Learners can also see the Learning Objectives of individual Courses within that path. Learning Objectives appear as the top panel in the More Information tab when present.

Bulk Course Import

The bulk course import template (Admin > Content Library > Bulk Imports) now supports two additional Content Metadata columns: Learning Objectives and Regions. Both columns are optional and can be mapped to any column header in your CSV file using the column mapping UI. These fields are only available for courses at this time.

Learning Objectives

Enter multiple learning objectives in a single cell, separated by a pipe character (|). For example: Identify workplace hazards|Understand emergency procedures|Apply safety protocols. Pipes are used instead of commas because objective text can contain commas. Each course supports up to 20 objectives, with a maximum of 200 characters per objective. When importing to an existing course, the full set of objectives is replaced with the imported values. If the column is left empty or not mapped, existing objectives are preserved.

Regions

Enter multiple regions in a single cell, separated by commas. For example: EMEA,North America,APAC. If a region value does not already exist for your organization, it will be created automatically during import. Each course supports up to 20 regions, with a maximum of 100 characters per region name. When importing to an existing course, the region assignments are replaced with the imported values. If the column is left empty or not mapped, existing region assignments are preserved.

NOTE: The Learning Objectives and Regions columns are only visible in the column mapping UI when the respective feature flags are enabled for your organization.
